Managing Concierge Programs
Learn how to add coordinators and administrators, update billing information, and manage payment methods for your Concierge program in the Lyft Business Portal. This guide is designed for Concierge program administrators who may not have access to organization-level settings.
In this article, we'll cover:
Understanding your role as a program administrator
As a Concierge program administrator, you have permission to manage specific programs but may not have access to organization-wide settings. This means you can:
- Edit your program's details and settings
- Add coordinators and other administrators to your program
- Manage your program's coordinators
- Update billing information for your program
- View program-specific data and reports
If you need to create new programs or access organization-wide features, you'll need to contact your organization administrator or Lyft Business Support. Not sure if you're a program administrator? If you can see and edit specific programs but don't see an "Administrators" tab under "People" in the left navigation, you're likely a program administrator rather than an organization administrator.
Note: For more details on different administrator permission types and managing administrators in the Lyft Business Portal, please see this support article.
Understanding coordinators vs. administrators
Concierge programs use two different roles:
Coordinators can:
- Request and schedule rides for others
- Access the dispatch portal at lyft.com/dispatch/login
Program administrators can:
- Do everything coordinators can do
- Edit program details and settings
- View program data and reports
- Add or remove other coordinators and administrators
- Manage billing information
Most users who need to book rides for others should be added as coordinators. Reserve administrator access for those who need to manage the program itself.
Adding coordinators
Coordinators can dispatch rides through the Concierge Portal but cannot modify program settings.
Steps to add coordinators:
- Log in to the Lyft Business Portal using your work email address
- Click 'Concierge' in the left-hand navigation bar
- Click 'Programs' and select the program you want to manage
- Click '+ Add coordinators' in the top-right corner
- Enter the coordinator's work email address
- To add multiple coordinators, separate email addresses with commas
- Click 'Invite'
The new coordinator will receive an email invitation. Once they accept, they can start dispatching rides at lyft.com/dispatch/login.
Granting administrator access to coordinators
If a coordinator needs to manage program settings in addition to dispatching rides, you can upgrade their permissions to administrator access.
Steps to grant administrator access:
- After adding someone as a coordinator, wait for the page to update (this may take a few moments)
- Refresh the page if the new coordinator doesn't appear immediately
- Check the box next to the user's name
- Click 'Edit Permissions'
- Check the box for 'Manage programs'
- Click 'Save'
The user will now have administrator access and can manage program settings in addition to dispatching rides.
Note: Users must first be added as coordinators before they can be granted administrator access. You cannot directly add someone as an administrator from the program level.
Removing coordinators or administrators
Steps to remove someone:
- Navigate to your Concierge program
- Check the box next to the user's name
- Click 'Remove people'
- Confirm the removal
Removed users will immediately lose access to dispatch rides and manage the program. Historical ride data will remain unchanged.
Updating invoice groups
Invoice groups help you organize billing by department, cost center, or other categories. You can add new invoice groups directly from your program settings.
Steps to add an invoice group:
- Navigate to your Concierge program
- Click 'Edit program' in the top-right corner
- Scroll down to the 'Billing' section
- Ensure your billing preferences are set to 'Monthly' and 'Offline billing'
- Click '+ Add a new invoice group'
- Enter the invoice group details
- Click 'Save'
Important: Invoice groups cannot be edited after they're published. If you need to make changes, you'll need to create a new invoice group. Make sure to add or update invoice groups before the 1st of the month to ensure they appear on your next billing cycle.
Adding or updating payment methods
If your Concierge program is set up for online billing, you can add or update payment methods directly.
Steps to add a payment method:
- Navigate to your Concierge program
- Click 'Edit program' in the top-right corner
- Scroll down to the 'Billing' section
- Under 'Payment method', click '+ Add payment method'
- Enter your credit card information
- Click 'Save'
Note: Not seeing the option to add a payment method? Your program may be set up for invoiced billing rather than online billing. Contact your organization administrator or Lyft Business Support for assistance.
FAQs
Can I see who has coordinator vs. administrator access?
Yes. Navigate to your Concierge program and you'll see a list of all users with their permission levels. Administrators will have "Manage programs" listed in their permissions.
How do I know if someone accepted their coordinator invitation?
Invited coordinators who haven't accepted yet will show as "Pending" in your program's user list. Once they accept, their status will update and they can start dispatching rides.
Can I add the same person as a coordinator to multiple programs at once?
No, you need to add coordinators to each program individually. If you manage multiple programs with the same coordinator team, you'll need to add them to each program separately.
What should I do if I experience a payment or billing issue?
First, check that your payment method is up to date in your program settings. If the issue persists, reach out to support with details about the problem.
I don't know who my organization administrator is. What should I do?
Contact Lyft Business Support and they can help you identify your organization administrator or assist with your request directly.
